Managing Shifts
This guide explains how to manage your shifts, including requesting trades and accepting offers from others.
Viewing Your Shifts
Your upcoming shifts are listed on the home screen under the “My Shifts” section. Each shift is displayed on a card with the following information:
- Date and time of the shift
- The group the shift belongs to
- A “Request Trade” button to initiate a trade
- If the shift is on the current day, a “Clock In” / “Clock Out” button will also be available.
If you have already requested a trade for a shift, the card will be highlighted, and the button will say “Edit Request”.
Requesting a Trade
If you are unable to work a shift, you can put it up for trade. SwapSanity makes it easy to find someone to cover for you.
- Find the shift you want to trade in the “My Shifts” list on the home screen.
- Tap the “Request Trade” button. This will take you to the “Create Trade Request” screen.
- On this screen, you can:
- Add a comment: Provide a reason for the trade or any other relevant information. This is optional.
- Offer a shift in exchange (Swap): You can offer one of your other assigned shifts to the group in exchange for someone taking the current shift. This is known as a “swap.” Tap the “Add Shift to Offer” button to select one of your other shifts to include in the offer. This is optional but can help incentivize others to take your shift.
- Once you are ready, tap the “Submit Request” button.
Your shift will now be marked with an orange triangle on the calendar for all members of your group. Other users can find your request by selecting the date on their calendar.

You can pick up extra shifts by accepting trade requests from other users.
- Look for green squares on your home screen calendar. These indicate days with available trade requests.
- Tap on a day with a green square to see the available shifts in the list below.
- Each card shows details about the shift, who is offering it, and any comments or offers they have made.
- If you find a shift you want to take, simply tap the “Accept” button on the card.
The shift will be automatically assigned to you, and the original owner will be notified. The shift marker on your calendar will change from green to blue.
For Administrators
In addition to the user-level shift management features described above, group administrators have access to a powerful set of tools for managing all shifts within their group. These tools allow for creating, editing, deleting, and reassigning shifts for any member, as well as bulk-uploading schedules via CSV.
